The overview

Bringing the Entire Event Journey Into One Connected System

Large-scale club events involve much more than selling a ticket.

Member verification, ticket allocation, RFID cards, payments, attendee records, entry management and customer support all need to work together. When these processes are handled across separate systems and manual conversations, event operations quickly become difficult to manage.

MPC Gymkhana used WhatsEase to bring these workflows together into a connected WhatsApp-first event experience.

The challenge

Connecting digital ticketing with physical access

MPC Gymkhana needed a ticketing system designed around its membership-based event model. The workflow had to support custom member ticketing while also handling physical RFID cards and digital attendee records.

The challenge wasn't simply digitizing ticket sales. It was connecting the digital purchase journey with physical event access.

  • Member-specific ticketing
  • RFID card printing
  • QR and card linking
  • Physical card issuing
  • Payment and cash confirmation
  • Lead follow-ups
  • Attendee information
  • Event support

The WhatsEase solution

One operational layer for the complete event

WhatsEase created a customized event workflow connecting ticketing, CRM, WhatsApp communication and RFID-based access management. Instead of attendees and organizers moving between disconnected systems, WhatsApp became the primary communication and operational layer.

01 — Custom Member Ticketing

The ticketing journey was designed specifically around MPC Gymkhana's member requirements. Attendee and ticket information could be captured digitally and connected with the event's broader CRM workflow.

02 — RFID & QR Integration

RFID cards were incorporated into the attendee journey. WhatsEase supported RFID printing and QR/card linking while coordinating with the external Delhi-based vendor involved in the card system. This connected each attendee's digital registration with their physical event credential.

03 — Desk-Based Card Issuing

Physical RFID cards could be issued through event desks while remaining connected to the attendee's underlying registration. This created a bridge between online ticketing and on-ground access management.

04 — WhatsApp Payment Confirmation

Manual cash payments could also be confirmed through the WhatsApp workflow. This meant offline transactions didn't have to remain disconnected from digital attendee records.

05 — SDR Lead Recovery

Potential attendees who showed interest but didn't complete the process could be followed up with through SDR support. Instead of allowing incomplete enquiries to disappear, the team had a structured way to continue the conversation and help interested users complete their journey.

Customer testimonials

Beyond the numbers, the implementation demonstrated that WhatsApp could act as much more than a customer-support channel. It became part of the infrastructure connecting ticket sales, customer communication, CRM data and physical event access.

Business impact

A more unified experience for everyone

For the organizers, WhatsEase provided better visibility into the attendee journey and reduced the need to coordinate multiple disconnected processes manually.

For attendees, registration, communication, payments and event access became part of a more unified experience.

For the event team, digital customer records could remain connected even when physical RFID cards and offline payments were involved.

Bring ticketing, CRM, payments and attendee communication together.

The MPC Gymkhana implementation shows how WhatsEase can support complex event operations where digital ticketing must work alongside real-world access systems. From the first interaction to RFID-enabled entry, WhatsEase helped connect the entire journey.
